# Outreach Mailboxes

> Get separate domains and mailboxes for cold outreach, set up for you by Alva.

Outreach mailboxes are extra mailboxes on lookalike domains — for example `getacme.com` or `tryacme.com` if your company is `acme.com` — used only for cold outreach. Sending from them protects your main company domain: if a campaign runs into spam problems, your everyday email is unaffected.

Alva buys the domains, creates the mailboxes, sets up the technical records that prove your emails are genuine, and connects everything to your account, ready for [BDR agents](https://docs.alvahq.com/bdr-agents/overview.md).

> [!NOTE]
>
> Only account admins can order outreach mailboxes.

## What you get

* **Lookalike domains** that are close to your company name and available to buy
* **Sender names** — a realistic first and last name for each mailbox, which you can change
* **Profile photos** — an AI-generated photo for each sender, in the style you choose. Photos are free
* **Mailboxes connected and ready** — each one appears under **Connected Accounts**, grouped by domain, with its sender name and photo already set
* **Optional domain forwarding** — anyone who types an outreach domain into a browser can be sent to your real website

You can put between 1 and 5 mailboxes on each domain. **Three per domain is recommended** — it spreads your sending without overloading any one domain.

## Order by asking Alva

The quickest way is to ask Alva, in the chat panel or [by email](https://docs.alvahq.com/ai-assistant/alva-by-email.md):

> "Set up outreach mailboxes"

**1. Alva proposes a plan**

It suggests available lookalike domains, sender names, how many mailboxes go on each domain, and the monthly price in your billing currency. Ask it to rename a sender, change the numbers or skip the photos.

**2. Choose the photo look (optional)**

Ask to see the photos first and pick the style — **Formal**, **Casual** or **Random** — and the background — **Office**, **Natural** or **Random**. Ask for one photo again and only that one is redone. The photos you've seen are the ones used.

**3. Say yes**

Nothing is ordered until you agree. By email, reply "yes" or click the **Approve** link.

**4. Alva sets them up and reports back**

It tells you when the order has started and how it's going. Ask "are my mailboxes ready?" at any time.

Asking for the same domain twice is refused, so a second "yes" never charges you again.

## Order in Settings

Go to **Settings → Email Connections** and click **Provision Outreach Accounts** in the **Provision Outreach Email Accounts** card. The wizard has five steps:

1. **Plan your outreach setup** — confirm your company's main domain, then choose how many domains and mailboxes you want. The wizard shows the mailboxes per domain, the maximum daily sends and the estimated monthly cost.
2. **Choose outreach domains** — pick from the available lookalike domains. Click **Generate More Suggestions** for more options.
3. **Sender personas** — review each sender's name and photo. Set the photo **Attire** and **Background**, regenerate a name or photo, or add and remove senders.
4. **Domain forwarding** — optionally enter your website address. Leave it blank to skip.
5. **Confirm & launch** — check the summary and monthly total, then click **Launch Provisioning**.

## Pricing and billing

Outreach mailboxes are a monthly subscription, charged in your billing currency. The first month is charged to your card when you order, then monthly after that, on a separate cycle from your plan. You'll always see the exact price before you confirm.

> [!WARNING]
>
> You need a saved card (or an active plan) to order. If there isn't one, Alva explains what's needed and sends you to **Settings → Billing**.

## How long setup takes

Setup usually takes **20–45 minutes**, and can take up to about **2 hours**. You don't need to keep the page open — the **Outreach Provisioning** section on **Settings → Email Connections** updates on its own.

If a setup fails, click **Retry** on that run (or ask Alva to retry it). Retrying picks up where it stopped and **doesn't charge you again**. Don't place a new order to fix a failed or slow one — that would buy a second set.

## After your mailboxes arrive

**1. Signatures**

New mailboxes get your default [signature](https://docs.alvahq.com/email/email-signatures.md) automatically, set to the plain-text version, which is best for cold outreach. If you don't have a default yet, Alva offers to design one and asks which mailboxes it should go on.

**2. Four-day wait before campaigns**

New mailboxes can't send campaign emails for their first **4 days**, and then start with low daily limits while they build a sending reputation. You can still send individual emails and replies straight away. See [warm-up rules](https://docs.alvahq.com/email/sending-health-and-limits.md#new-mailbox-warm-up).

**3. Alva checks in**

After four days, when campaigns can start, Alva checks the new mailboxes and offers to set up a signature and a BDR agent to use them.

Once campaign sending is allowed, Alva also runs one inbox placement test on each new domain, as long as you have credits, so you can see whether its emails land in the inbox.

## Ask Alva

* "Set up 6 outreach mailboxes on 2 domains"
* "Show me the photos before you order"
* "Are my new mailboxes ready?"
* "Why did my mailbox setup fail?"
* "Put my plain-text signature on the new mailboxes"

Alva can't change the photo of a mailbox that already exists — the photo is set when the mailbox is created.
